In the past, the General Assemblies of the European Geosciences Union (EGU) have been supported by very active students who have done a great job in assisting our attendees at registration or during their presentations. We would like to cordially invite you to apply for a job as a conference assistant at the EGU General Assembly 2025 in Vienna, 27 April–2 May 2025.
General information
- Only applicants with an EU or Swiss passport are allowed to work at the EGU General Assembly.
- The ability to speak fluent English is mandatory.
- Conference assistants have to arrange and finance their travel to and from Vienna/the venue, accommodation, and food on their own.
- The wage is €15 net per working hour. Conference assistants from outside Vienna receive a one-time additional payment of €150 net for travel and accommodation. If you are a student, the city of your university is considered your current place of residence.
- Conference assistants will be provided with lunch and a soft drink per working day from Sunday to Friday. In addition, they will receive a free public transportation ticket for Vienna (Zone 100) valid from Monday to Friday.
- For Austrian residents: if you have other income in Austria in 2025, you will be forced to pay income taxes in Austria should the sum of all income, including the amount earned at the EGU General Assembly (including travel money), exceed €12,816 gross.
- For non-Austrian residents: if you have other income in Austria in 2025, you will be forced to pay income taxes in Austria should the sum of all income, including the amount earned at the EGU General Assembly (including travel money), exceed €2,330 gross.
A job application is possible for the following working areas. Please note that it cannot be guaranteed that you will actually be assigned to your preferred working area.
Lecture rooms
The following details are valid for Monday to Friday. In addition, lecture room assistants are called for a general introduction on Saturday and a hands-on on Sunday. The actual time spent on Saturday and Sunday for the introduction and preparation determines the paid hours. All lecture rooms run the oral sessions hybrid through Zoom. Presenters upload their presentations beforehand, the presentations are run from the lecture room notebook but shared in Zoom for virtual attendees. Presenters then either speak at the lectern in the lecture room or unmute themselves and speak inside Zoom.
- The ability to speak fluent English is mandatory.
- Fix the daily programme to the board at the entrance of the room.
- Check that there is water for the speakers. The caterer will provide one fill in the morning. Please (re)fill the water during the breaks.
- Prepare the lecture room notebook and the corresponding Zoom meeting.
- Download the uploaded presentations. Start them and forward the slides for virtual presenters.
- Help the speakers and chairpersons with microphones and the presenter device.
- Provide the discussion microphone during discussions at the end of the talks.
- Fill out the statistic sheet for the different time blocks/sessions.
- Your main job is during the breaks when the authors of the following session organize themselves. Please stay in the lecture room with the exception of your lunch break.
- Assistants without evening lecture
- Presence: 07:30–18:30 (11 hours)
- Lunch break: 13:00–13:30
- Working hours: 10.5 hours
- Paid hours: 11 hours

- Assistants with evening lecture
- Presence: 07:30–20:30 (13 hours)
- Lunch break: 13:00–13:30
- Intermediate break: 18:15–18:45
- Working hours: 12 hours

Posters
The following details are valid for Monday to Friday. In addition, poster assistants are called for an introduction on Sunday. The actual time spent on Sunday for the introduction and preparation determines the paid hours.
- The ability to speak fluent English is mandatory.
- Help the authors with putting up their posters and providing material.
- Remove all posters that have not yet been taken down by their authors at the end of their display time.
- Fill out the statistic sheet for the different time blocks/sessions.
- You are the contact person for all kinds of requests.
- Working hours
- Presence: 07:30–19:00 (11.5 hours)
- Lunch break: 13:00–13:30
- Working hours: 11 hours
- Paid hours: 11.5 hours
PICO spots
The following details are valid for Monday to Friday. In addition, PICO spot assistants are called for an introduction on Sunday. The actual time spent on Sunday for the introduction and preparation determines the paid hours. All PICO spots run the PICO sessions hybrid through Zoom. Presenters upload their presentations beforehand, the presentations are run from the PICO spot notebook but shared in Zoom for virtual attendees. Presenters then either speak at the lectern at the PICO spot or unmute themselves and speak inside Zoom.

- Prepare the PICO spot notebook and the corresponding Zoom meeting.
- Download the uploaded presentations. Start them and forward the slides for virtual presenters.

Name badge pickup
All conference attendees have to register online and pay their registration fee before accessing the conference venue in Vienna. On site at the conference, attendees must only pick up their name badge as their access document (and identifier for networking). Name badge pickup assistants are called for an introduction only before the start of the pickup on Sunday. We can only guarantee an engagement on Sunday and Monday. The continuation of the engagement after Monday and until any time before Friday 13:00 depends on the daily decisions by Copernicus about the required personnel capacities.
- The ability to speak fluent English is mandatory.
- Help registered attendees to print out their name badges.
- If anyone has not yet registered, ask them to register online on their own and pay their registration fee online by credit card or PayPal before joining you again for the name badge print out.
- You are the contact person for all kinds of requests.
